Performs various administrative/secretarial & bookkeeping functions in support of the daily operations of Tribal Construction's Inventory Program. Maintains & tracks technical projects & financial information for billing by maintaining accounts receivable, payable, reconciliations and related reports. Maintains an inventory of all parts & materials used by the Tribal Construction Program and outside customers for the repair & construction of water & wastewater systems.
- Prepares billing for inventory, maintains records and back-up. [Billing includes reconciling ledgers to pay requests, reconciles department ledgers with Tribe's ledgers, investigates & clears discrepancies, reviews & closes according to procedures; submits pay request to appropriate department for reimbursement and prepares month end financial statement for program; including, a monthly aged accounts receivable.]
- Prepares files & maintains purchase orders, pay requests & physical inventory records and participant files. Sorts bills {accounts payable) and assigns financial codes.
- Prepares & maintains files for correspondence, requisitions, purchase orders, financial reports, time & materials used on projects.
- Assists in the preparation of budget for inventory.
- Receives & records parts/materials processing them according to inventory procedures and monitors level of department supplies & reorders as needed.
- Assists with the distribution of parts needed for daily job assignments, documenting parts & materials used on a daily basis, maintaining current & complete inventory records.
- Responds to requests for cost of parts for the preparation of bids; including answering phone, directing calls, answering questions, and providing assistance.
- Assists with annual audit physical count of inventory.
- Attends meetings, takes notes, prepares & distributes information as requested.
- Performs job duties according to established safety guidelines and Tribal policies.
- Maintains reports, records, files & logs according to established guidelines & Tribal policies.
This position is supervised by program leadership. This position is not responsible for supervising others.
Experience: One (1) year of related experience required.
Education: High School Diploma or GED Equivalent required. Equivalent combination of education and experience may be in lieu of degree, with required related experience of an additional 1 year.
Licenses & Certifications: Valid, insurable NC Driver’s License required.
- Must be familiar with department's policy & procedures for bidding, ordering, receipt, and storage of parts/materials/supplies; be able to read and interpret requisitions and bid quotes.
- Must have a thorough knowledge of the billing process.
- Requires the ability to maintain, update and consolidate various records, files & reports.
- Must have basic secretarial & bookkeeping skills and be familiar with accounting practices.
- Duties require computer skills and a specified software program.
- Must use basic office equipment [computer, calculator, copier/scanner, phone system and two-way radio.
