Performs diversified administrative duties in support of daily operations, programs, special events, and personnel, to include complex tasks, advanced bookkeeping, and data analysis. Prioritizes emails, phone calls, and appointments, supporting department schedules and communications. Maintains specified records, files, and logs to ensure accurate reporting of office activities. Displays composure and creative problem solving, communicating with a variety of employees and audiences, managing confidential situations with tact, professionalism, and diplomacy. Serves as a professional point of contact, acts as a positive Tribal ambassador, and maintains a positive public relations image for the department and for the Tribe.
- Greets department visitors and aids as needed, making necessary notifications, directing visitors to the specified office, and facilitating contact with the appropriate people.
- Answers and directs phone calls and responds appropriately to requests for general information and assistance; takes and delivers messages.
- Responds appropriately to requests for information and assistance, prioritizing inquiries and requests while troubleshooting scheduling conflicts.
- Maintains calendars, entering appointment data regarding fixed meetings, appointments, and conferences for the office, making judgments and recommendations to ensure smooth, daily engagements.

- Provides clerical and administrative support to the department, including but not limited to: preparing memos, letters, and reports; ordering supplies; maintaining files; preparing USPS/UPS/Fed Ex packages; operating and maintaining basic office equipment; and proofing paperwork, filing, ordering supplies, and preparing notary work.
- Assists in preparation of budget reporting, performing advanced bookkeeping and accounting functions, and entering data into Tribal accounting software.
- Prepares internal documentation, may include but not be limited to: requisitions, purchase orders, expense reimbursements, grant and contract documentation, vehicle maintenance work orders, and other administrative paperwork.
- Supports capital purchases and asset management; may track department inventories.
- Monitors expenditures and notifies supervisor of any budgetary considerations or issues.
- Prepares and makes travel arrangements, include airline, hotel, and car rentals, for department staff.
- Coordinates and plans social events with visiting agencies, dignitaries, and academic institutions; assists with program events as needed.
- Performs job duties according to established safety guidelines and Tribal policies.
This position is supervised by division leadership. Must be able to work independently, using a considerable amount of judgment and creative thinking. Receives minimal functional guidance. This position may be responsible for supervising office staff.
Experience: Five (5) years of related experience required. Experience to include advanced level administrative, bookkeeping, and general accounting practices.
Education: Bachelor’s Degree in related field required. Equivalent combination of education and experience may be in lieu of degree, with required related experience of an additional: 5 years with a High School Diploma/GED equivalent; or 3 years with an Associate’s Degree.
Licenses & Certifications: Valid, insurable NC Driver’s License required. Must have Notary Public or obtain within 6 months of hire.
