Administrative and Data Coordinator - Internal Audit and Ethics
Description

Provides oversight and management for clerical and administrative duties that support the daily operations of the Office of Internal Audit and Ethics. Serves as the intake coordinator of complaints that report wrongdoing including but not limited to fraud, waste, abuse, retaliation, and ethical violations. Assists and supports staff with audits, investigations, and other special projects.

Responsibilities
  • Oversees all administrative responsibilities necessary to support the daily operations of the office.
  • Coordinates the work of the Administrative Assistant.
  • Assists with the annual budget planning, preparation, and presentation.
  • Composes and proofreads memorandums, correspondence, reports, proposals, and other documents.
  • Prepares legal documents and contracts for signature.
  • Maintains office policies and facilitates revisions when needed.
  • Receives and processes public information requests.
  • Maintains website and other social media accounts.
  • Disseminates reports and information as requested.
  • Receives and processes complaints received through the hotline, telephone, mail, direct delivery, or other method.
  • Conducts initial assessment and analysis of reported allegations to ensure proper handling and response.
  • Contacts and effectively communicates with members of the public, staff, tribal officials, and others to collect information needed to assess and recommend appropriate response to the allegations made.
  • Assigns cases to staff or make referrals as appropriate.
  • Follows up and monitors complaints in a timely manner to ensure effective assessment and response.
  • Prepares and maintains reports on key metrics of complaints to identify trends and risks.
  • Assists with the organization of all office files and records.
  • Performs a variety of research, analytics, data management, and other work as requested to assist with the completion of audits, investigations, and other special projects.
  • Performs job duties according to established safety guidelines and Tribal policies.
Scope of Supervision

Oversight and supervision of an Administrative Assistant. Works under the general direction of the Chief Audit & Ethics Executive, where definite objectives or goals are established.

Minimum Mandatory Qualifications

Experience:Three (3) years of related experience required. Experience in administrative management, compliance, internal audit, ethics, or related area.

Education: Bachelor’s Degree in Business Administration, Public Administration, or related field required. Equivalent combination of education and experience may be in lieu of degree, with required related experience of an additional 5 years with a High School Diploma/GED equivalent; or 3 years with an Associate’s Degree in a related field.

Licenses & Certifications: Valid, insurable NC driver’s license required.  Designation as an ethics, compliance, or fraud professional preferred or must be obtained within two (2) years of hire.
