Procurement Coordinator
Description

Facilitates the following program functions, including but not limited to: requisition process (review and entry), completion of purchase orders, ordering, receiving, asset tracking, inventory tracking, record keeping, and other duties that support the Manager - Finance and EBCI Qualla Boundary Head Start and Early Head Start.

Responsibilities
  • Receives and enters requisition requests from center managers, supervisors, and office personnel to start the purchasing process.
  • Tracks requisitions to purchase order conversion.
  • Coordinates with vendors and orders items once an approved purchase order is available.
  • Assists staff in obtaining the best price and quality by developing competitive quotes for items requested.
  • Receives and verifies that shipments are complete and in good condition.
  • Notifies supervisor of any discrepancies regarding orders.
  • Obtains signatures on all contracts between the program and vendors.
  • Enters contracts and backup in financial management software for the approvals process.
  • Enters budget amendments as prescribed by the Manager - Finance.
  • Processes transfer and disposal forms of assets and assists in both inventory and asset tracking.
  • Distributes goods received to appropriate center or office.
  • Maintains a resource of current catalogs online and in print.
  • Creates and maintains a vendor list to hand out to employees.
  • Handles mail in and out of center.
  • Picks up and delivers A/P checks to centers and office personnel.
  • Answers phone and directs calls for the office. Maintains all reports, records, files and logs as required.
  • Prepares specified reports and summaries as required.
  • Assists in the classrooms, kitchen, and at the front desk as needed.
  • Serves as a bus monitor. Maintains office equipment, replacing toner, drums printers, etc.
  • Liaison with IT in regards to staff used iPads, Kindles, and printers.
  • Attends workshops and seminars pertaining to this position.
  • Wears proper safety clothing and equipment necessary to perform the tasks at hand.
  • Performs all duties according to established safety procedure and Tribal Policy.
  • Must complete an annual physical and TB test.
Scope of Supervision

This position is supervised by program leadership. This position is not responsible for supervising others.

Minimum Mandatory Qualifications

Experience: Three (3) years of related experience required.

Education: Associate’s Degree in related field required.

Licenses & Certifications: Valid, insurable NC Driver’s License required. Proof of vaccination status is required by Head Start Performance standards.
