Housing Intake Specialist
Description

This is very responsible, technical, and administrative work assisting with a variety of technical and clerical activities in support of the programs administered or managed by HCD. Incumbent assists with the day-to-day operations of the housing programs Including the Intake, screening and housing of individuals and families and assisting with preparing and maintaining documentation, flies, and reports. Additional activities include coordinating the Issuance of application letters, assisting individuals coming into the main office and answering telephone calls from residents and the public. Job related duties require good organizational, interpersonal and decision-making skills, experience in performing a variety of administrative activities, and the ability to effectively prioritize activities required to meet established deadlines and reporting requirements. Job performance is evaluated by the Rental Occupancy Specialist through review of the accuracy and timelines of housing reports and related administrative duties, knowledge of various housing program rules and regulations, ability to effectively assist management and other support staff with daily operations.

Responsibilities
  • Assist applicants in determining eligibility for housing and the type of housing which meets their needs; assist applicants in completing their applications for housings; key-in applicant information and process applicants for interviews; perform other data entry as required.
  • Provide internal and external resource information to assist clients In assessing their needs for the appropriate housing choice(s) and walking participants through the process if necessary.
  • Composes and sends all correspondence to applicants and maintains files of all applicants including documentation of all actions taken on behalf of each applicant.
  • Assists with determining eligibility for applicants along with ensuring that all applicants are properly given assistance in accordance with established policies and procedures.
  • Provide reception area coverage as needed; greet and help customers, providing program Information to the public, staff, residents, and agencies, and make appropriate referrals to other staff; schedule and re-schedule appointments; -operate multi-line telephone system. Handle daily incoming inquiries from voicemail, email, faxes, etc.
  • incumbent must have the ability to be highly organized and prioritize workload with interruptions, calmly and efficiently in a fast-paced environment, in order to ensure the accurate and timely completion of all job responsibilities and compliance with established reporting deadlines.
  • Analyzes and interprets data and information for compliance and reporting purposes.
  • Creates, organizes, and maintains detailed files and related documentation.
  • Performs a wide variety of record management duties; may retrieve records in preparation for interviews, reviews, inspections, and other appointments.
  • Operates computer equipment along with business and proprietary software programs to enter and retrieve data, maintain records and generate reports; type memos, bulletins, letters, and notices; may perform mail merge projects and waitlist purges; prepare agenda items as requested and related materials; compose correspondence or prepare from rough draft.
  • Entering contracts into Munis for all housing departments (except QHA).
  • Keep updated records of contracts for all departments.
  • Intake for road to SOCO apartments.
  • Paying invoices in Munis as well as take application fee payments.
  • Work with admin staff to help prepare CIP requests and contracts for projects.
  • Keep updated record of paving list for Housing.
  • Must attend all rental, loan, and BID committee meetings.
Scope of Supervision

Incumbent reports directly to the Housing Services Manager, or his/her supervisory designee. This position is not responsible for supervising others.

Minimum Mandatory Qualifications

Experience: One (1) year of related experience required. Experience to include clerical work.

Education: High School Diploma or GED Equivalent required.

Licenses & Certifications: Valid, insurable NC Driver’s License required.
